What Is an Order Management System (OMS)? A Simple Guide for Online Stores

An order management system (OMS) is the one place where an online store checks, ships, tracks and closes every order. What an OMS does, how it differs from Shopify and spreadsheets, and when a store actually needs one.

What Is an Order Management System (OMS)? A Simple Guide for Online Stores

An order management system (OMS) is software that tracks every order from the moment it's placed until it's closed: delivered and paid, or returned and back in stock.

Your store platform (Shopify, for example) is where customers browse and buy. The OMS is where your team works on those orders afterwards: checking them, confirming them, booking the courier, packing, tracking and handling returns.

Think of it as the control room behind your store.

What does an OMS actually do?

Every OMS is a little different, but for an online store the core jobs are the same.

1. Brings all orders into one list

Orders from your website arrive on their own. Orders taken on Instagram, Facebook, WhatsApp or by phone are added to the same list, so nothing lives in a separate notebook.

2. Checks orders before they ship

For cash on delivery stores, this is the biggest one. The OMS can check the address and phone number, spot duplicate orders, and flag customers who refused parcels before, so your team calls those first.

3. Confirms orders with customers

Instead of calling every customer, many stores send a WhatsApp confirmation and only call the ones who don't reply.

4. Books the courier

Select confirmed orders and book them with your courier in one go, with every airway bill in a single PDF, instead of typing each address into the courier portal.

5. Tracks every parcel

The order status follows the courier on its own: booked, in transit, delivered or returned. Parcels the rider couldn't deliver show up in one list, so you can act the same day.

6. Handles returns and COD money

Returned parcels are scanned back in. The OMS shows which returns the courier marked but you haven't received, and which delivered parcels the courier hasn't paid for yet.

7. Gives the team the right access

A packer can pack and hand over parcels without seeing customer details or changing orders. Everyone sees only what they need.

OMS vs Shopify vs Excel: what's the difference?

Store platform (Shopify)Excel / Google SheetsOrder management system
Takes orders from customersYesNoGets them from your store
Checks COD orders for riskNoOnly by handYes, automatically
Books Pakistani couriers in bulkNoNoYes
Follows parcel status on its ownNoNoYes

Shopify is not a worse tool. It just does a different job. The OMS picks up where the store platform stops.

Signs your store needs an order management system

You probably don't need an OMS at five orders a day. You probably do if several of these sound familiar:

  • Someone spends hours every morning booking parcels one by one on the courier portal.
  • You don't know how many parcels came back last month, or how many are still on the way back.
  • Fake or refused COD orders keep costing you delivery charges.
  • Orders from Instagram or WhatsApp sometimes get forgotten.
  • Wrong items go in the box, or parcels go missing between packing and the rider.
  • You can't tell how much COD money each courier still owes you.
  • Everyone on the team can see and change everything.

For many stores this starts somewhere around 30 to 50 orders a day, when one person can no longer keep it all in their head.

What to look for in an OMS (for Pakistani stores)

A tool built for another country may not fit how stores here work. Check for:

  • Built for cash on delivery: order checks, confirmation and COD tracking, not just shipping.
  • Your couriers, your accounts: it should book with the couriers you use, on your own account and rates.
  • Shopify and manual orders: website orders automatically, and a quick way to add phone or Instagram orders.
  • WhatsApp: confirmations and delivery updates where your customers actually reply.
  • Works on a phone: many owners run the business from their phone.
  • Clear pricing: a monthly price you can plan for, and a free trial on your own orders.

Frequently asked questions

Is an OMS the same as an ERP?

No. An ERP covers the whole business: accounts, purchasing, HR and more. An OMS focuses on orders: from the moment one is placed until it's delivered, paid or returned. Most online stores need an OMS long before they need an ERP.

Is an OMS the same as inventory management?

They overlap, but an OMS is about orders and shipping. It may show stock next to orders, while your store platform or a stock tool keeps the main stock count.

Do I need to stop using Shopify?

No. The OMS works alongside Shopify. Customers keep buying on your store, and the orders come into the OMS on their own.

Is an OMS expensive?

It doesn't have to be. Look for a monthly plan based on how many orders you ship, with a free trial so you can test it on your real orders first.

How long does it take to start?

With most modern OMS tools, you can connect your store and courier and see your orders the same day.
