Shopify Fulfillment and Tracking for Pakistani Couriers

Here's a situation most Pakistani Shopify stores know. The parcel was booked with the courier three days ago. It might even be delivered. But in Shopify, the order still says Unfulfilled.

That's because Shopify doesn't know about local couriers on its own. Booking happens in the courier portal or another tool, and nobody goes back to update Shopify. Over time your Shopify admin stops matching reality.

This guide explains why fulfillment in Shopify matters, how to do it by hand, and how to keep it updated automatically.

Why keep Shopify fulfillment up to date?

You could ignore it. Plenty of stores do. But an order list full of "Unfulfilled" causes real problems:

  • You can't trust your Shopify reports. Fulfilled vs unfulfilled numbers mean nothing.
  • Apps that rely on fulfillment don't work. Review requests, loyalty points and many marketing apps wait for an order to be fulfilled.
  • Customers can't see tracking in their order status page or emails.
  • Your team double-checks. Is this order really unfulfilled, or just not updated?

What "fulfilled" means in Shopify

In Shopify, fulfilling an order means telling it which items have shipped. A fulfillment can include:

  • The items in the parcel (all of them, or only some).
  • A tracking number and the courier's name.
  • A customer notification: Shopify can email the customer the shipping details, or not.

An order can have more than one fulfillment. If you ship part of an order now and the rest later, Shopify shows it as Partially fulfilled until everything has gone.

How to fulfill a Shopify order by hand

  1. Open the order in your Shopify admin.
  2. Click Fulfill item(s).
  3. Choose the items and quantities in this parcel.
  4. Add the tracking number. For couriers Shopify doesn't list, choose Other and type the courier's name.
  5. Decide whether Shopify should email the customer.
  6. Click Fulfill items.

It takes under a minute per order. At five orders a day that's fine. At 100, it's another hour of copying tracking numbers from the courier portal into Shopify, every day.

Partial shipments

Sometimes one item is out of stock, or a large order goes in two parcels. In that case, fulfill only the items in each parcel. Shopify shows the order as Partially fulfilled, and the order is complete when the last items ship.

This is where manual updates usually go wrong: people fulfill the whole order when only half shipped, and stock and reports drift.

When a booking is cancelled

If you cancel a courier booking (wrong address, customer cancelled, wrong courier), the order is no longer on its way. If Shopify still shows it fulfilled, your records are wrong. Cancel the fulfillment in Shopify too, then fulfill again when you rebook.

Updating Shopify automatically

The better way is to let your order management system update Shopify as soon as something happens with the parcel:

  • Booked: the order is marked fulfilled in Shopify with the courier and tracking number.
  • Only some items booked: only those items are fulfilled, so Shopify shows Partially fulfilled.
  • Booking cancelled: the fulfillment is cancelled in Shopify too.
  • Delivered: Shopify shows the parcel as delivered.

Nobody types tracking numbers twice, and Shopify always matches what actually happened.

Should Shopify email the customer?

Shopify can send its own shipping email with the tracking number. If you already send WhatsApp updates (shipped, out for delivery), you may want to switch Shopify's email off so customers don't get the same news twice. It's a choice per store.

How invertbyte keeps Shopify in sync

In invertbyte, each store has a setting called Send shipping updates to Shopify. When it's on:

  • Booking a parcel marks the order fulfilled in Shopify with the courier and tracking number.
  • A parcel with only some of the items marks only those items, so partial shipments show correctly.
  • Cancelling a booking cancels the fulfillment in Shopify.
  • When the courier delivers, Shopify shows it as delivered (you can switch this part off).
  • You choose whether Shopify emails the customer.

If Shopify ever refuses an update (for example, the item was already fulfilled there), the parcel shows the reason and a Send again button, and the order's timeline records what happened.

Shopify asks you once to approve the fulfillment permission for the invertbyte app. After that it runs on its own. Read how it fits the full flow in Shopify Order Management in Pakistan: The Complete Guide, and how booking itself works in How to Book Courier Parcels from Shopify.

Frequently asked questions

Why does my Shopify order still say Unfulfilled after booking?

Because booking happened outside Shopify (in the courier portal or another tool) and nothing told Shopify. Either fulfill it by hand or connect a system that updates Shopify when you book.

Can I add a PostEx or Leopards tracking number in Shopify?

Yes. When fulfilling, choose Other as the carrier, type the courier's name, and paste the tracking number.

What is Partially fulfilled?

It means some items of the order have shipped and some haven't. It's normal for orders sent in more than one parcel.

Will fulfilling in Shopify charge my customer?

No. For cash on delivery orders, fulfillment only records that the items shipped. Payment is still collected by the courier on delivery.

Do I need to update Shopify when a parcel is returned?

Returns are handled separately from fulfillment. Most stores track returns in their order management system, where the parcel is scanned back in when it arrives.
